WHAT INFORMATION IS COLLECTED

When you use Story to Soul, information collected may include:

• Your written responses to the reflection questions

• Your email address, used to deliver your reflection

• Payment information needed to complete your purchase, processed through Squarespace Payments

• Basic technical information needed to operate the service securely

Your reflection responses contain whatever personal information you choose to share while completing the experience.

Story to Soul does not track your activity outside the experience.

YOU CONTROL WHAT YOU SHARE

You do not need to provide your full name or include exact names, dates, locations or other identifying details in your reflection reggsponses.

You can refer to people, places and events in whatever way feels comfortable to you. Story to Soul does not need those details to create your reflection.

Share only what you are comfortable sharing.

HOW INFORMATION IS USED

Your responses are used to create and deliver your personal reflection.

Story to Soul may also use de-identified excerpts, themes, patterns or insights from reflections to improve the Story to Soul experience and for future writing, research, educational materials or content.

Any material used for these purposes will be separated from your identity. Names and identifying details will be removed or changed, and excerpts will not be used where the surrounding circumstances could reasonably identify you or another person.

Story to Soul will never publish an excerpt, testimonial, or quote that could identify you without first obtaining your specific, separate permission.

Your identifiable responses are not sold, used for advertising or profiling, or publicly connected to you.

USE OF AI AND AUTOMATION

Story to Soul uses artificial intelligence and automated services as part of the process used to create and deliver your reflection. Your responses are processed through the Story to Soul Synthesis Framework, which uses AI systems provided by OpenAI, to create your personalized written reflection.

Your responses are not routinely read or reviewed by a person. Limited human access may occur when necessary to provide technical support, investigate a problem, maintain or improve the Story to Soul experience, or respond to a request from you.

Where responses are reviewed for improvement or quality purposes, access is limited to what is reasonably necessary and identifying information is avoided where possible.

DATA STORAGE AND RETENTION

Your reflection responses are stored and processed for the purpose of creating and delivering your personal reflection.

Story to Soul aims to retain reflection responses and generated reports for no longer than 30 days after your reflection is delivered, and works to delete them from its systems within that period. This allows Story to Soul to provide technical support, resolve delivery issues, or resend your report if needed. After that period, Story to Soul deletes the reflection responses and generated report from the systems under its control, subject to limited backup or retention practices maintained by third-party service providers.

Basic purchase and transaction records may be retained for longer where required for accounting, tax, legal or administrative purposes. These records do not include your reflection responses.

You may request deletion of your reflection responses and report before the end of the 30-day period by contacting hello@storytosoul.com.

EMAIL COMMUNICATIONS

Your email address is used to:

• Deliver your reflection

• Respond if you contact us

You will not receive marketing emails unless you explicitly sign up.

AGE

Story to Soul is intended for adults. It is not directed at, and should not be used by, anyone under the age of 18.

THIRD-PARTY SERVICES

Story to Soul uses a small number of third-party services to operate the reflection experience. Depending on where you are in the process, your information may be processed by:

• Squarespace Payments to securely process your purchase. Story to Soul does not receive your full payment card information.

• Typeform to collect your reflection responses and email address.

• Make to move information between the services used to create and deliver your reflection.

• OpenAI to process your responses as part of the Story to Soul Synthesis Framework and create your personalized written reflection.

• PDFShift to convert your completed reflection into a PDF.

• Google Workspace, including Gmail and Google Drive, to deliver your reflection by email and store the completed PDF for the limited retention period described above.

These services receive the information needed to perform their role in creating, delivering, storing or supporting your reflection. Each provider maintains its own privacy and security practices.

ACCESS, CORRECTION AND DELETION

You may contact Story to Soul to request access to, correction of, or deletion of personal information held about you, subject to any information that must be retained for legal, tax or administrative purposes. If you request deletion of your reflection responses or completed report during the retention period, Story to Soul will delete them from the systems under its control. APPLICABLE PRIVACY LAW

Story to Soul is based in Ontario, Canada. Its handling of personal information is governed by applicable Canadian privacy law, including the federal Personal Information Protection and Electronic Documents Act (PIPEDA).
